1. Scope of the processing of personal data
The HMC Office, located at the IDCC of the GEOMAR, collects the following personal data in the context of this survey:
- The institutional affiliation, their Helmholtz research fields as well as a categorisation of the job description of the participants are compulsorily collected.
A LimeSurvey instance (https://www.limesurvey.org) hosted on a server at GEOMAR is used to collect the data. Log data that would allow conclusions to be drawn about the time and place the survey was called up by the participants, as well as the IP address of the participants, are not stored.
Participants can subscribe to an e-mail distribution list that informs them about the results of the survey and related activities and events. The list is hosted by the DFN (German National Research and Education Network, https://www.listserv.dfn.de/sympa/home) and is administered by the contact person mentioned above.
2. Transfer of personal data within the Helmholtz Association
The personal data collected is only accessible to members of HMC. The answers will be accessible by HMC members at the following Helmholtz centres:

3. Legal basis for the processing of personal data
Due to the required consent to data processing, Art. 6 §. 1 lit. a DSGVO provides the legal basis for data processing.
4. Publication of survey data
An anonymized data set of survey responses will be published as part of a data publication under the CC-BY 4.0 licence. This data will not contain any personal information on the institutional affiliation of the participants.
5. Purpose of the data processing
The survey data are collected and processed with the aim of surveying the current state of research data management at the Helmholtz Centres and identifying opportunities for improvement. Based on the survey data, HMC would like to develop and improve targeted offers.
6. Duration of storage
The data will be deleted as soon as it is no longer required to achieve the purpose for which it was collected, or consent for processing has been revoked.
7. Possibility of objection and removal
The user has the possibility to revoke his consent to the processing of his personal data at any time.

Every data subject also has the right to information under Article 15 of the GDPR, the right to rectification under Article 16 of the GDPR, the right to erasure under Article 17 of the GDPR, the right to restriction of processing under Article 18 of the GDPR, the right to object under Article 21 of the GDPR and the right to data portability under Article 20 of the GDPR. With regard to the right to information and the right to erasure, the restrictions pursuant to Sections 33 and 34 LDSG apply. Furthermore, there is a right of appeal to a competent data protection supervisory authority (Article 77 DSGVO).
